A property management virtual assistant handles the daily admin of running rentals, such as tenant messages, maintenance requests, leasing enquiries and rent follow-up, so property managers can focus on owners and growth. Most of this work is repetitive and happens through software, which makes it ideal for remote support.

Why property managers hire virtual assistants

Property management runs on a constant stream of small tasks: a tenant reports a leak, a prospect asks about a unit, an owner wants a statement, a vendor needs a certificate. Each takes minutes, but together they fill the day. A trained assistant absorbs that stream, so managers can win new doors and keep owners happy.

Tasks a property management assistant can handle

  • Tenant communication by phone, email and the tenant portal.
  • Maintenance requests: log them, triage urgency, dispatch vendors and close the loop with the tenant.
  • Leasing support: answer enquiries, schedule showings, send applications and chase documents.
  • Rent follow-up: reminders before and after due dates, and logging promises to pay.
  • Vendor management: request quotes, track insurance certificates and schedule visits.
  • Data entry: keep units, leases and work orders accurate in your software.
  • Owner reporting: prepare monthly summaries and answer routine owner questions.

Tools they work in

Most property managers use AppFolio, Buildium, Yardi, Rent Manager or Propertyware. A good assistant learns your system and your workflows rather than adding another tool. See our guide to the virtual assistant tool stack for how to set up access safely.

After-hours and emergency cover

Tenants do not only call during office hours. Many companies use remote staff to cover evenings and weekends, working from a written emergency guide: what counts as an emergency, which vendor to call for each issue and when to wake the on-call manager. Our article on virtual assistant time zones and US hours explains how offshore teams cover US evenings.

How to start

  1. List your repeat tasks and estimate weekly hours for each.
  2. Write short procedures, starting with maintenance intake and leasing enquiries.
  3. Grant access step by step with individual logins.
  4. Review daily for two weeks, then weekly.
  5. Add tasks such as rent follow-up and owner reports as accuracy is proven.

Working with a wider real estate team

Many companies run both rentals and sales. Our guide to the virtual assistant for real estate covers transaction and listing support, and our facilities coordination blueprint shows how a larger work-order team is structured.

A day in the life of a property management assistant

The morning starts with the overnight queue. The assistant reads every tenant message and portal request that arrived after hours, sorts them by urgency and opens work orders for anything that needs a vendor. Urgent items, such as no heat or an active leak, go to the on-call manager straight away with the tenant’s details and photos attached.

Mid-morning is for leasing. New enquiries from listing sites get a reply within the hour, with available showing times and a link to the application. Applicants who have started but not finished get a friendly reminder, and missing documents are chased.

The afternoon covers rent and vendors. Tenants with upcoming due dates receive a reminder, late payers get a polite follow-up, and promises to pay are logged in the tenant record. Vendors are asked for quotes, insurance certificates are checked for expiry and completed jobs are closed with the tenant.

The day ends with a short written summary for the property manager: new work orders, open emergencies, leasing activity and anything that needs a decision.

Mistakes to avoid when delegating

Property managers who struggle with remote help usually hand over the phones without an emergency guide, share one login across several people or never define which decisions the assistant may make alone. Write down spending limits for vendor approvals, which situations always need a manager, and how quickly each type of request should be answered. Those three rules prevent most problems.

Measuring the impact

Track the average response time to tenant messages, work orders closed per week, days a unit sits vacant and hours the property manager spends on admin. When response times drop and vacancies fill faster, owners notice, and that is what wins new doors.
