Working With a Virtual Assistant in a Different Time Zone (US Hours)

A virtual assistant time zone difference works when you choose a shift pattern, write down the overlap hours and use a short daily handoff note. Most problems with overseas assistants come from unclear schedules, not from the distance.

Hiring a virtual assistant overseas can give you cover while you sleep and lower costs, but only if the time difference is managed on purpose. Most complaints about offshore assistants trace back to unclear schedules rather than poor skills. Here is how to set it up so it just works.

Know the gap

Time differences depend on the countries and the time of year. As a guide:

• Bangladesh (UTC+6, no daylight saving): 10 to 11 hours ahead of US Eastern, 13 to 14 hours ahead of US Pacific.
• Philippines (UTC+8, no daylight saving): 12 to 13 hours ahead of US Eastern, 15 to 16 hours ahead of US Pacific.
• India (UTC+5:30, no daylight saving): about 9.5 to 10.5 hours ahead of US Eastern.

Because the US changes clocks and these countries do not, the gap moves by an hour in March and November. Check the current difference rather than assuming.

Choose a shift pattern

Pattern A: shift to your day

The assistant works during your business hours, which is their evening or night. Benefits: live questions, real-time customer replies, meetings. Cost: an unusual schedule for them, which some providers price in.

Pattern B: overnight handoff

The assistant works their own day while you sleep. You leave a short brief in the evening and wake up to finished work. Benefits: natural hours for them, effective use of time. Cost: little live overlap, so instructions must be very clear.

Pattern C: hybrid

A short overlap window of two to three hours plus asynchronous work the rest of the day. This works well for most small teams.

Write down the overlap

Put the overlap hours in the agreement, in both time zones and with a named reference such as US Eastern. Agree:

1. The days worked and the start and end times.
2. The overlap window for live questions.
3. What happens on public holidays in each country.
4. Whether the assistant’s clock or yours stays fixed when daylight saving changes.

Use a daily handoff

A short written note at the end of each shift keeps continuity:

• What was completed.
• What is in progress and where it stands.
• Anything blocked and what is needed to unblock it.
• Questions for the next overlap.

Ask the assistant to post it in the same place every day. It takes five minutes and prevents most misunderstandings.

Decide what cannot wait

Define an escalation rule so urgent issues reach you. For example: "If a customer reports a payment problem, message me immediately using this channel; otherwise it can wait until the next overlap." Without a rule, the assistant either interrupts you constantly or waits when they should not.

Make instructions self-contained

A sample schedule for a Bangladesh-based assistant

Suppose your team works 9:00 to 17:00 US Eastern. In winter that is 19:00 to 03:00 in Dhaka. A common arrangement is for the assistant to work 20:00 to 04:00, giving about six hours of overlap. In summer, when the US moves to daylight time, the gap grows by an hour, so agree in advance whether the assistant’s clock hours change or the US-facing hours stay fixed.

Keeping quality high on a night shift

• Rest and health: an assistant who works nights needs a sustainable schedule. Ask how your provider looks after this.
• Backup arrangements: power and internet backup should be standard.
• Fewer, longer blocks: avoid splitting the shift into many small windows.
• Clear wake-up tasks: set the top three priorities each day so the assistant can start immediately.

1. Questions wait more than a day for an answer.
2. Work is regularly redone because instructions were unclear.
3. You feel you must be online at odd hours to unblock the assistant.
4. The assistant seems tired or rushed.
